Loadscan Supplier Code of Conduct

Applies to: All Loadscan suppliers, vendors, contractors, and service providers

Introduction

At Loadscan, we believe in building strong, trusted partnerships with suppliers who reflect our values. We expect our suppliers to operate responsibly, ethically, and in compliance with all relevant New Zealand laws and standards. This Supplier Code of Conduct (Code) outlines the minimum expectations Loadscan holds for all suppliers with whom we do business.
Our values—Integrity, Innovation, People, Sustainability, and Performance—shape how we operate and collaborate. We view our suppliers as an extension of our team and are committed to responsible sourcing practices that respect people and the planet.

Guiding Principles

This Code is guided by international best practices and frameworks, including:

  • The UN Guiding Principles on Business and Human Rights
  • The International Labour Organization (ILO) Conventions
  • The UN Global Compact’s Ten Principles
  • Applicable New Zealand legislation and standards, including but not limited to:
    • Employment Relations Act 2000
    • Health and Safety at Work Act 2015
    • Resource Management Act 1991
    • Crimes Act 1961
    • Protected Disclosures (Protection of Whistleblowers) Act 2022
  1. Safe, Respectful & Fair Work Environment (People)

    Suppliers must provide all workers—whether permanent, temporary, agency or contract—with a safe, hygienic, and respectful work environment.

Labour & Human Rights

Suppliers are expected to:

  • Prohibit any form of forced, bonded, or child labour
  • Support the right to freedom of association and collective bargaining
  • Provide clear employment terms and pay legal or industry-standard wages
  • Ensure working hours comply with applicable laws and allow for rest
  • Ensure employment is freely chosen and workers may leave with reasonable notice
Health & Safety

Suppliers must:

  • Maintain a safe and healthy workplace in accordance with the Health and Safety at Work Act 2015
  • Assign a senior manager responsibility for health and safety
  • Minimise occupational risks and respond to incidents appropriately
  • Provide access to clean drinking water, sanitation, and meal areas
  1. Environmental Responsibility (Sustainability)

    Suppliers are expected to demonstrate environmental stewardship and continuously work to reduce their environmental footprint.
    This includes:

    • Complying with environmental laws and regulations (e.g., emissions, waste, water use) under the Resource Management Act 1991
    • Actively working to reduce energy consumption and carbon emissions
    • Implementing sustainable sourcing practices and encouraging recycling and reuse
    • Promoting transparency on sustainability performance if requested

  2. Respect, Inclusion & Equity (Integrity & People)

    Loadscan requires its suppliers to treat all individuals with dignity and respect.
    Suppliers must:
    • Promote diversity, inclusion, and equal opportunity in employment
    • Provide a workplace free from discrimination, harassment, bullying, or abuse
    • Uphold the rights and dignity of all workers, including women and minorities
    • Ensure reasonable accommodation and access for people with disabilities, including in digital services, in alignment with the New Zealand Accessibility Charter

  3. Ethical Business Conduct (Integrity)

    We expect suppliers to uphold the highest ethical standards in all business dealings.
    This includes:
    • Avoiding corruption, bribery, fraud, and improper advantage, in accordance with the Crimes Act 1961
    • Declaring any potential conflicts of interest with Loadscan
    • Respecting intellectual property rights and confidential information
    • Promptly paying their vendors and stakeholders
    • Complying with trade sanctions and applicable tax laws

  4. Compliance, Accountability & Continuous Improvement (Performance)

    Suppliers are expected to:
    • Proactively monitor and ensure their compliance with this Code
    • Inform Loadscan immediately of any breach or non-compliance
    • Cooperate with Loadscan in audits or due diligence activities, if requested
    • Extend these standards to their own supply chains and subcontractors
    • Report concerns through appropriate channels, including Loadscan’s internal contact or reporting hotline, in accordance with the Protected Disclosures Act 2022

Reporting & Enforcement

If a supplier fails to meet the requirements of this Code, Loadscan reserves the right to:

  • Work with the supplier to resolve the issue within a reasonable timeframe
  • Review or terminate the supplier relationship based on severity and corrective action, in accordance with contractual terms and applicable law
  • Conduct audits or request third-party verification of compliance

Suppliers may report a concern confidentially by contacting their Loadscan representative or through other designated channels.
